LOG is committed to protecting your privacy and the privacy of personal information provided to us. We comply with all relevant laws in collecting, using, disclosing, and holding your personal information including the Privacy Act 1988 (Commonwealth) and the relevant Australian Privacy Principles.

This Privacy Policy applies to the collection, use, disclosure and holding of your personal information by us. We may change this Privacy Policy from time to time. Any such updated policy will be posted on our Website.

When using the Website or clicking ‘I Accept’ when filling an online Expression of Interest (EOI) form for your child(ren) to join our weekend Islamic school, you consent to the collection and use of your personal information in accordance with this Privacy Policy. Your use of the Website following any such change to the Privacy Policy will confirm your acceptance of the changes.

2. Definitions

“LOG” or “School” means Light of Guidance (LOG) [ABN 20654896250]

Personal information is information or opinion, whether true or not, about a person whose identity is apparent, or can reasonably be ascertained, from the information or opinion – that is recorded in any form. For example, a person’s name, address, phone number and date of birth (age). De-identified information about students can also be personal information.

Health information is information or opinion about a person’s physical, mental or psychological health or disability, that is also personal information – whether in writing or not. This includes information or opinion about a person’s health status and medical history, immunisation status and allergies, as well as counselling records.

Sensitive information has the meaning given to it by s 6(1) of the Privacy Act and is information or opinion about a set of specific characteristics, including a person’s racial or ethnic origin, political opinions or affiliations, religious beliefs or affiliations, philosophical beliefs, sexual orientation or practices; or criminal record. It also includes health information

3. Information We Collect and Hold

We only collect the following type of personal information that we need for our work and to provide services to you:

  • information about students and their families, provided by students, their families and others
  • personal information about job applicants, staff, volunteers and visitors; provided by job applicants, staff members, volunteers, visitors and others.
  • information that you give us from the forms on the Website, through our newsletter sign up, through our donations or grants process or other contact with us. This may include your name, address, email address and possibly financial information and credit card details;
  • any personal information provided by you when you communicate with us for any reason; and
  • other information including users’ IP address

If you do not consent to the collection of your personal information or provide to us incomplete or inaccurate information, we may not be able to provide to you our services.

4. How do we collect this information?

Wherever possible, LOG collects personal information directly from the relevant individual only by lawful and fair means.

LOG may collect and hold your personal Information from individuals, in a number of ways, including:

  • in person and over the phone: from students and their families, staff, volunteers, visitors, job applicants and others
  • from electronic and paper documentation: including job applications, emails, invoices, enrolment forms, letters to our school, consent forms (for example: enrolment, excursion, etc.), our school’s website or school-controlled social media.
5. Use of Information

LOG may use information collected:

  • for purposes to which you have consented, including enrolling students, providing courses and for business administration purposes;
  • to educate students;
  • to support students’ social and emotional wellbeing, and health;
  • communicate with parents about students’ schooling matters and celebrate the efforts and achievements of students;
  • maintain the good order and management of our weekend Islamic school;
  • customise, measure, and improve our services and content;
  • internal record keeping, internal management, billing and administrative purposes;
  • to handle any queries you may have or complaints; and
  • Investigate incidents in schools and/or respond to any legal claims against LOG;
  • to assess applicants’ suitability for employment or volunteering at LOG;
  • to administer employment or volunteer placement at LOG.

LOG also collects personal information on behalf of The Ethnic Schools Association of South Australia (ESASA) and for interaction with the Government of South Australia who provide funding to ethnic schools.

6. Disclosure

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information.

We will not disclose information that personally identifies you to advertisers.

We will confine the disclosure of your personal information to the primary purpose (as defined above) for which that information has been collected, or for a related secondary purpose, this includes when disclosure is necessary to provide services to you, to enable LOG to fulfil its objectives, functions and powers, or for security reasons.

Personal Information relating to students at LOG may be disclosed:

  • to respond to legal requirements or when requested by ESASA or the Government of South Australia;
  • to confirm completion of a student’s course (only name, Level(s), and date(s) of completion will be disclosed), and
  • to publish the name and award of graduates online (including website and social media)

If Personal Information is shared with third party service providers or business partners, use and disclosure of the Personal Information is strictly limited to the extent necessary to deliver the service requested by LOG, in order to support its operations.

7. Security and Retention of Personal Information

We strive to ensure the security, integrity, and privacy of personal information, and will take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.

We train our staff and volunteers about the importance of confidentiality and maintaining the privacy and security of your information. Access to your personal information is limited and accessed by a restricted number of users on a need-to-know basis to provide benefits or services to you.

LOG takes precautions to help safeguard against the accidental or unlawful destruction, loss, alteration and unauthorised disclosure of or access to the Personal Information processed or used by LOG. These precautions include organisational, technical, and physical measures.

When Personal Information is no longer needed by LOG for any purpose for which the information may be used or disclosed in accordance with this Policy and provided that LOG is not required by law or court order to retain the Personal Information, LOG will take reasonable steps to destroy or delete the Personal Information or to ensure it is de-identified. If there is any Personal Information that LOG is unable, for technical reasons, to delete entirely from the our systems, LOG will put in place appropriate measures to prevent any further use of such Personal Information.

You might find links to a third-party website on our website. We are not responsible for the privacy practices or content of any site that is linked to our website. Your activity on those sites is covered by the privacy policies of those sites. You should always read the applicable privacy policies on the other websites.
